-JOB DESCRIPTION-
TITLE OF POSITION: Full Time Office/Payroll Administrator
• Answering office phone
o Transferring call to appropriate person or taking information for a return call
o Taking information when a customer calls and writing it on our request for quote, so an estimator can return the call
• File/Paperwork Processing
o Filing forms and paperwork in its appropriate location – file cabinet or electronic
o Placing mail or other paperwork in other employee’s folders for review
o Sending a copy of our insurance/W-9 to clients when needed
o Filing sub-contractor’s insurance/W-9/etc. in their vendor files
o Notifying sub’s when their insurance is due for expiration if they have not sent the renewal already and record in QB’s etc.
o Badge Processing and Recording for government projects
o Assisting in Unemployment Paperwork, Mandated Garnishment Paperwork, etc.
o New Hire Paperwork and set-up
o Employee Time-Off Record Keeping
• A/P & A/R
o QB’s data entry
o Entering bills/invoices, debit card transactions, and credit card transactions into QB’s, contacting vendors when issues arise and checking statements as they come in
o Reconciling Credit Card Accounts
o Preparing weekly payables report for Owners and Paying bills/Printing checks for signature once payment is due and mailing payment
o Processing Payroll/Certified Payroll
• Misc Office Tasks
o General support for management in office, which requires regular communication with Office Manager
o Scan/Email daily QC Reports to Clients
o Providing applications to applicants that may walk into the office or inquire via phone or email
o Notarize documents as necessary
o Send and File required forms to GC’s as necessary (QC’s, Safety Meetings, etc.)
o Assist Management in day-to-day tasks associated with basic admin needs
o Helping to keep office neat and clean
o Occasional errands: Such as making deposits at the bank or mailing something at the post office
o Assist in basic office cleaning as needed or directed.
